Privacy Policy

Who we are
NapGan Media (“we”, “us”) helps physicians build their personal brand with video and social media content. We’re based in British Columbia, Canada. This policy explains what personal information we collect through napganmedia.com and our client portal (portal.napganmedia.com), why we collect it, and your choices.
Questions or requests: hello@napganmedia.com. Our Privacy Officer, Jack Napier-Ganley, is responsible for how we handle personal information.
What we collect
If you visit our website
Our website doesn’t use analytics or advertising trackers. Like any website, our hosting provider receives basic technical information (such as your IP address and browser) to deliver the page. We also load fonts from Google Fonts, which receives the same kind of basic request information.
If you join our waitlist or download our free workbook
- Workbook: your name and email.
- Waitlist: your name and email, practice name and specialty, plus anything you choose to share about practice size, patients per week, your current social media presence, time available for content, budget range, goals, and how you heard about us.
If you’re a client using our portal
- Account: your name, email address and profile photo from Google sign-in.
- Profile details you add: phone number, preferred email, birthday (month and day; the year is optional), mailing address, clinic name, social media handles, language, and notification preferences.
- Your content: videos, photos and voice notes you record or upload; video ideas, scripts and comments; your Brand Journal answers; any intake questionnaire you complete; and the finished videos and posts we create for you.
- Performance data: views, likes, followers and similar statistics for your posts, which we add to track results for you.
- Technical data: a sign-in cookie that keeps you logged in; if you turn on phone notifications, a notification token for your device; and basic logs of activity in the portal (for example, which video was approved and when), which we use for security and troubleshooting.
How we use it
- To review waitlist applications. We take on a small number of physicians at a time, and we read what you share to decide whether we’re a good fit and to prepare for a conversation.
- To send you the workbook and, if you joined the waitlist, to contact you about working with us.
- To deliver our service to clients: planning ideas, writing scripts, editing videos, creating posts, publishing to your social accounts when you’ve asked us to, and reporting on results.
- To keep in touch: for example, notifying you when a video is ready for review. We use your birthday and mailing address only to send you the occasional card or gift.
- To keep the portal secure and working.
We never sell your personal information, and we don’t use it for advertising.
Health information and patient privacy
Our service is built around your expertise, not your patients’ information. We don’t publish identifiable patient stories, and the portal isn’t designed to hold patient health information. Clients confirm that every upload contains no patient-identifiable information. If something identifiable is ever uploaded by mistake, tell us and we’ll delete it.
Who we share it with
We share personal information only with service providers that help us run NapGan Media, and only as needed for them to do that work:
We may also disclose information if the law requires it, or to protect our rights or someone’s safety. If NapGan Media is ever sold or merged, information may transfer to the new owner under this same policy.
Where your information is stored
Our providers store and process information outside Canada, mainly in the United States, so it may be accessible to authorities there under local law. We choose providers that protect information with safeguards comparable to our own.
How long we keep it
- Waitlist and workbook sign-ups: up to 2 years after your last contact with us, unless you ask us to delete it sooner.
- Client accounts and content: for as long as you’re a client, then up to 12 months afterwards (so you can ask for copies), unless you ask us to delete it sooner. We may keep limited records longer where the law requires, such as invoices.
- Content that has been published to your social media accounts stays there under your control; deleting it from our systems doesn’t remove it from those platforms.
How we protect it
Access to the portal requires sign-in, and each client can only see their own clinic’s content. Data is encrypted in transit, access is limited to our team, and we review our security. No system is perfectly secure, but if a breach ever puts your information at real risk, we’ll notify you and the appropriate authorities as the law requires.
Your choices and rights
You can ask us to:
- See the personal information we hold about you
- Correct anything that’s wrong
- Delete your information, or withdraw your consent to how we use it. This may mean we can no longer provide the service.
- Stop sending you non-essential messages. You can turn off phone notifications for the portal in Settings, and email us to stop any other messages.
Email hello@napganmedia.com and we’ll respond within 30 days. If you’re not satisfied with our response, you can contact the Office of the Privacy Commissioner of Canada or the Office of the Information and Privacy Commissioner for British Columbia.
Cookies
The portal uses one essential cookie to keep you signed in. Our website doesn’t use tracking or advertising cookies. If that changes, we’ll update this policy first.
Children
Our website and portal are intended for adults (physicians and their teams). We don’t knowingly collect information from anyone under 18.
Changes to this policy
If we make meaningful changes, we’ll update the date above and, for clients, let you know in the portal.
